Lease Information
Leases can be setup and then associated with a well on the Well Info tab of the well information window.
Generally this window is just an informational location for you to store the lease information. This window is used for three purposes:
- Land Module - An optional software module that allows you to track Delay Rental Payments. The lease information is setup on this window, then Lease Oblibations will be setup on a seperate window that will be associated with each Lease.
- TX PR Reports - An option reporting feature for those in the state of Texas that need to file information on the Form PR. The lease each well is associated with must be listed on the report. You can setup a lease, then associate it with the well on the well information window so that the report knows which lease each well should have listed for it. You only need to fill out the Lease ID and Lease Name if using this window for the TX PR form.
- Informational - all other users can still use this Lease Information window as a place to store the lease information in the software. It is just informational, but it allows quick and easy access to the information if it is needed.

Lease ID
Enter a 1 - 10 character lease ID code for this land record.
Lease Name
The name by which this lease is referred to.
Unique ID
A unique ID that can be assigned to the Lease. This doesn't affect anything but allows advanced reporting users to create reports that will filter or report by this field.
County/State
The county and state where this lease is located.
Township
The township where this lease is located.
Prospect
Prospect this lease is associated with. Informational only.
Gross Acres
The gross acreage of the lease.
Net Shallow
The net acreage of the lease that is considered shallow.
Net Deep
The net acreage of the lease that is considered deep.
Lease Status
The status of this lease. If you need to pay a delay rental payment for this lease the status must be active. If the status is Inactive, Sold or Expired, you will not be able to create delay rental checks for that lease.
Active - The lease is actively paying delay rentals.
Expired - The lease has expired. No well was drilled in the alotted time.
HBP - Held by production. The lease has producing wells which take the place of delay rentals.
Paid up - The lease has paid the max stated in the lease agreement.
Sold - The lease has been sold to someone else.
Amended
Mark this option as a reference if the lease has been amended.
Lease Obligations
A button that allows you to quickly pull up the Lease Obligations window where you can view, edit, or add obligations for this lease. This is just a shortcut to the window. It is shorter than going to the Maintain menu and choose Land Files, then Lease Obligations.
Lease Date
The date the lease was acquired.
Lease Term(Yrs)
The length of the lease term in years.
Lease Term(Mos)
The length of the lease term in months.
Expires
The date that the lease expires.
Recording Date
The date the lease was recorded.
Book/Page
The book and page where this lease is recorded.
Instrument No.
The number of the instrument associated with this lease if the records are stored electronically.
Well List Field
Each well that is associated with this Lease will be listed here. The association is made on the Well Information window, so you can't edit it here. This is just a display field.
Primary Address
The address for the location of the lease.
Mailing Address
The mailing address for the lease.
Legal Matter Pending
A checkbox that can be marked if a legal matter is pending for this lease.
Digitized
A checkbox that indicates if the information for this lease is digitized.
Amended
An informational option to indicate whether this lease has been amended or not.
Agent
A reference field where you can store the agent for this lease.
Partner
A reference field where you can store the agent for this lease.
Bill Partner
A reference field where you can store the agent for this lease.
Surface Owner
Select the owner that is the surface owner. This owner bust be setup on the owner information window before they can be selected here.
Original Lessor
A reference field that allows you to store the original entity that was the Lessor.
Consolidation Reference
The book and page number where the consolidation of leases is recorded.
Consolidation Recorded
The date the consolidation of leases was recorded.
RRC Lease No/RRC District No/RRC Comingle
Used for creating Texas State Compliance Reports.
Acquired From
The entity that you acquired the lease from.
Acquired Date
The date that this lease was acquired from this entity.
Formations
The geological formation that this lease is for. Formation must be setup on the Maintain/Land Files/Formations window before you can associate them with the lease.
AMIs
Any Areas of Mutual Interest can be associated with the lease on this field. The AMI must first be setup on the Maintain/Land Files/AMI Information window before you can associate them with the lease.
The clauses tab allows you to enter notes and clauses for the Lease. This information is grouped by one of the available options. Mark each option that you want to enter notes/clauses for. Once marked, the corresponding tab will be available across the top of the notes field. You can go to each tab and enter the desired information.
The available groupings are: Renewal, Pooling, Depth Restriction, Shut-In, ORRI, Free Gas, Continuous Drilling, Unitization, Landowner App, and Assignment.
Legal Description
The legal description of the lease can be recorded here.
Lot/Description
A place for you to describe the lot or any other description for the lease.
Parcel
The parcel or parcels that the lease is on can be entered here.
Prog/Partnership
If the lease is associated with a Program/Partnership in the software, then you can associate it with that Program/Partnership here. The Program/Partnership must be setup under the Maintain menu before you can select it here.
Auditor Web URLS
The web links to the Auditors website can be listed for each lease here. enter the URL in the top field, then click on the Add button and the link will be added to the list in the bottom field. Once the link(s) are setup, you can select one of the links, then click on the "View" button to view the corresponding web page. You can delete a link from the list by selecting it then clicking on the red X button just to the right of the field that looks like it was written with chalk.
You can enter any free-form notes that pertain to this well by using the Notes page.
The Documents tab allows you to associate files with this record and then view them from within the software at any time.
This capability is offered as an optional module. You will not be able to see this tab unless you have purchased the Document Management module
Link Doc:
A new document can be associated with this record by clicking on the "Link Doc" button. You will be able to browse to the desired file. After selecting the file it will ask you to specify a description for the file. Once a document is selected it will be listed to the left with the description that you typed in.
View Doc:
You can view a document associated with this record by selecting the document from the space on the left and then clicking this button.
Remove Doc:
A document can be removed from the list by selecting it then clicking on this Remove Doc button.
Show Paths:
Each stored file will be listed using the description that you keyed in for it when it was linked. Clicking on this "Show Paths" button will change what is displayed so that is lists the full file path to this file instead of the description.
Treeno:
The Treeno button allows you to access and save documents on the cloud. The capability to store documents on the cloud is only available if you purchased the optional "Cloud Document Management" Module. You will not see this button unless you have purchased that module.
