Customer Information

In order to be able to invoice customers and keep track of accounts receivable, customers need to be added to the customer file.

Choose a tab to view:

  • Billing
  • Shipping
  • Codes
  • History
  • Notes
  • Documents
  • Billing

    Customer ID
    Each customer is identified with a unique 1-10 digit customer ID. Although the ID can be between one and 10 characters, it is best to keep all customer IDs at the same length. The ID can be a mixture of alphabetic characters or numerals. This is the only page where the customer ID can be modified.

    Name
    The customer's name can consist of alphabetic characters and/or numerals. The length can be up to 40 characters. This is the only page where the customer's name can be entered or modified.

    Address
    The customer's street address. Two address lines are available with up to 40 characters each.

    City, State, ZIP Code
    The city, state and ZIP code portion of the customer's billing address.

    Phone Numbers
    The customer's primary voice/fax/mobile numbers.

    Billing Contact
    The primary contact person at this customer's company.


    Shipping

    Customer ID/Name
    This is a reference field only. If you want to change it you will have to go to the Billing tab.

    Shipping Address
    The customer's street address. Two address lines are available with up to 40 characters each. This is the shipping address for the customer.

    City, State, ZIP Code
    The city, state and ZIP code portion of the customer's shipping address.

    Voice/Fax
    The customer's primary phone/fax numbers at the shipping address location.

    Shipping Contact
    The primary contact person at this customer's company shipping location.


    Codes

    Customer ID/Name
    This is a reference field only. If you want to change it you will have to go to the Billing tab.

    Tax ID
    The federal tax ID for the customer. If the customer is an individual, enter the customer's social security number. If the customer is a company, enter the company's federal tax ID number.

    Price Level
    The default price code to associate with purchases by this customer. This price code will automatically be entered into the Sales/Invoicing when this customer is being invoiced. There are five different price codes per inventory item or billing code. The prices for each price code are defined on the Inventory/Billing Codes .

    Tax Status
    Choose Taxable if this customer is not exempt from sales tax. Choose exempt if they do not have to pay sales tax.

    Finance Charge
    If this customer is charged a finance charge on overdue balances, enter the appropriate finance charge code here. The finance charge codes must have already been set up through the Maintain, Finance Charges .

    Default Sales Account
    The default sales account number associated with sales to this customer. This number is automatically entered for this customer when an invoice is created. This account number can be overridden in the Sales/Invoicing . Choose the sales account number by typing it in, pressing the F2 key, or by clicking on the Sales Acct button.

    Default Sales Tax Code
    Enter or choose the default sales tax code associated with this customer. This code will be automatically entered into the Sales/Invoicing when an invoice is entered for this customer. Choose the code by typing it in, pressing F2, or by clicking on the Tax Code button.

    Default Terms
    Enter or choose the default terms provided to this customer. This code will be automatically entered into the Sales/Invoicing when an invoice is entered for this customer. Choose the code from the drop-down list.


    History

    Customer history is kept for transactions relating to customers in the customer history page. This information is automatically updated each time this tab becomes active.

    Customer ID/Name
    This is a reference field only. If you want to change it you will have to go to the Billing tab.

    Activity
    Date of Last Sale - The date of the last sale to this customer.
    Last Sale Amount - The amount of the last sale to this customer.
    Date of Last Payment - The date of this customer's last payment.
    Last Payment Amount - The amount of this customer's last payment.

    Sales
    Current Year Sales - The year-to-date sales made to this customer.
    Sales Last Year-to-Date - The amount of sales made to this customer last year.
    Total Sales - The total sales made to this customer.

    Balances
    Current - The current outstanding balance. (1-30 days old)
    31-60 - The balance that has been outstanding between 31 and 60 days.
    61-90 - The balance that has been outstanding between 61 and 90 days.
    Over 90 - The balance that been outstanding for over 90 days.
    Total Balance - The total outstanding balance for this customer.


    Notes

    Customer ID/Name
    This is a reference field only. If you want to change it you will have to go to the Billing tab.

    Customer Notes
    Enter any free-form notes pertaining to this customer. The notes can be unlimited characters and lines.


    Documents Tab

    The Documents tab allows you to associate files with this record and then view them from within the software at any time.

    This capability is offered as an optional module. You will not be able to see this tab unless you have purchased the Document Management module

    Link Doc:
    A new document can be associated with this record by clicking on the "Link Doc" button. You will be able to browse to the desired file. After selecting the file it will ask you to specify a description for the file. Once a document is selected it will be listed to the left with the description that you typed in.

    View Doc:
    You can view a document associated with this record by selecting the document from the space on the left and then clicking this button.

    Remove Doc:
    A document can be removed from the list by selecting it then clicking on this Remove Doc button.

    Show Paths:
    Each stored file will be listed using the description that you keyed in for it when it was linked. Clicking on this "Show Paths" button will change what is displayed so that is lists the full file path to this file instead of the description.

    Treeno:
    The Treeno button allows you to access and save documents on the cloud. The capability to store documents on the cloud is only available if you purchased the optional "Cloud Document Management" Module. You will not see this button unless you have purchased that module.
