Updating State 1099 File
After the State 1099 file is created for the particular year, you may decide that you have changes to make to some of the records before the State 1099s are printed. Maybe there is some other income that did not run through SherWare's software that needs to be added to an owner's or vendor's 1099. Records for owners or vendors can be added or deleted through this screen, as well. To update the file for 1099 processing, choose Reports> 1099 Processing> Update State 1099 File from the menu.
NAVIGATION: When browsing between records, be sure to use the lookup list in the toolbar. Changing the owner in the ID field will not take you to a different record but will assign the visible interest to the owner you select. This is changing the information on the current record instead of navigating to a different one. Be sure to use the navigational tools provided in the toolbar to prevent mistakes. Once the proper record is selected you can then make adjustments to it.
Vendor 1099s are included on the state 1099 windows. These will not be reported to the state. You can ignore them if you are only using these totals for the state 1099 filing. The reason these are listed on this window is that if you are electronically filing your 1099 with the IRS and if you choose to submit a combined filing, then the numbers on this state 1099 window will be used. The vendors are then needed for the federal portion of the filing.
Here are descriptions for each field on this screen:
Year
The year this 1099 record is for.
State
The State that the 1099 is for.
ID
The owner or vendor ID of the person to receive the 1099.
Name
The name of the owner or vendor to receive the 1099.
Program
The program code for the program this income was generated from. (blank if no program)
Net or Gross
Whether gross revenue or net revenue is being reported.
Address/City/State/Zip
The address/City/State/Zip for this person to report to the IRS.
Tax ID
This person's social security number or the entity's Federal Tax Identification number.
Royalty
The dollar amount to be reported in box 2 (Royalty Income) on the 1099.

Non Employee Compensation
The dollar amount to be reported in box 7 (Non-Employee Income) on the 1099.
Rents
The dollar amount reported in box 1 on the 1099.
Pmts to Attorney
Not calculated by SherWare
Federal Tax Withheld
The amount of Federal Tax Withheld.
State Tax Withheld
The amount of State Tax Withheld.
